On this page

  • Hand a vehicle over
  • Take a vehicle back
  • Condition check without a booking
  • See a finished check

Do this every time. If there's ever an argument about a scratch or the fuel, the photos and signature settle it.

Hand a vehicle over

  1. Open the booking and tap Start handover. Or open the quick menu, tap Hand over a vehicle and pick the booking.
  2. Go through the steps. Tap Next after each one.
    • Odometer: take a photo. RoveHQ reads the number from it. Check it and fix it if it's wrong.
    • Fuel: photo of the gauge, then tap the level that matches.
    • Walkaround: one video walking round the vehicle, or a photo of each of the four sides.
    • Damage: tap the part of the vehicle where there's damage, choose the type (scratch, dent, crack, missing part), add a photo and tap Add this damage. Nothing there? Tick No damage to report.
    • GPS: confirm the tracker is working. Skipped if the vehicle has no tracker.
    • Signature: the customer types their name and signs on your phone.
  3. On Check and sign, if they pay cash now, enter the rent and deposit and tap Confirm cash and make receipt. You can share or download the receipt.
  4. Tap Finish handover.

If the customer hasn't signed the agreement yet, RoveHQ warns you. Get their signature before you give them the keys.

Going out early or late? RoveHQ asks whether to charge for the extra days or when rent should start.

Take a vehicle back

  1. Open the booking and tap Start return, or use Take a vehicle back in the quick menu.
  2. Do the same steps. RoveHQ shows what it was like at handover, so you can compare:
    • km driven since handover,
    • fuel at handover, and roughly how much less there is now,
    • damage that was Already on the vehicle at handover, so you only add new damage.
  3. If fuel is missing or there's new damage, you can type what you're charging.
  4. On the Deposit step, settle the deposit (see Deposits).
  5. The customer signs and you tap Finish return.

If they still owe rent, RoveHQ shows it. Collect now, or leave it on the booking to chase later.

Condition check without a booking

To record a vehicle's condition any time (after a repair, before selling), open the vehicle and tap Condition report. Same steps, then Save condition report.

See a finished check

On the booking, under Handover and return, tap Show the completed form to see the photos, fuel, damage and signature.

Questions

Can I hand over without the form?

Yes, from the booking tap Hand over without the form. But you'll have no photos or signature if there's a dispute later.
