Set the amount
Each booking takes the vehicle's own deposit, or your Usual deposit from Settings if the vehicle has none. You can change it on the booking form. See Booking and price rules.
Take the deposit
The deposit is part of the first payment. You record it one of these ways:
- Cash at handover: on the last step of the handover check, enter the Deposit amount received and tap Confirm cash and make receipt.
- Paid another way: on the booking's Payments tab, find the deposit and tap Record payment.
- Rental already running: tick You are holding the ... deposit when you enter it.
The booking then shows the deposit as held.
Settle it at return
The return check ends with a Deposit step:
- RoveHQ shows the deposit you hold and anything still owed on the booking.
- Add what you're taking off: Fuel missing, Damage, Cleaning fee.
- RoveHQ shows what to Give back to the customer. Tap Give back a different amount if you agreed something else.
- Choose how you're giving it back: Cash, Bank transfer or PromptPay.
If the deductions are more than the deposit, tick Bill the customer the ... the deposit does not cover and it's added to the booking for them to pay.
Don't know the repair cost yet? Tick Damage cost not known yet: keep the deposit for now. Nothing is given back, and pricing the damage goes on your To do list. Add the cost when you know it (Charge a renter), then return what's left.
Return or keep it later
On the booking, open the Vehicle & deposit tab and find Refunds & deposit. It shows what you took, returned, kept, and still hold.
- Return deposit: enter the amount and tap Confirm return.
- Record deduction: enter the amount and a reason (damage, late return, unpaid rent) and tap Confirm deduction. Keeping the whole deposit is the same thing, for the full amount.
How it shows in Money in & out
Deposits are held for customers, so they're listed separately under Deposits and don't count as income or cost. When you keep part or all of it, that part counts as income.
Questions
Why doesn't the deposit show in my income?
Because it's the customer's money until you keep it. Deposits are listed separately in Money in & out. Anything you keep or deduct does count as income.
