Find a customer

Customers lists everyone. Search by name or phone, or filter to who's renting now, who owes money, or who's missing documents. Each row shows what they're renting and what they owe.

Add a customer

Most customers add themselves through the booking link. To add one yourself:

  1. Customers > Add customer.
  2. Name and phone are enough. Pick the Country code and type the number.
  3. Optional: chat apps and email, photos of their passport and driving licence, an emergency contact, and notes.
  4. Tap Save customer.

If that phone number is already saved, RoveHQ tells you and lets you open the existing customer.

Passport and licence photos

When a customer adds their passport and licence on their booking link, RoveHQ reads the photos and fills in their name and document numbers for them to check. Returning customers don't have to add them again.

On the customer's page, the Documents tab shows what you have (passport, driving licence, photo of the customer). Tap Add a photo to add one yourself (these aren't read for you; type the numbers in Edit details). RoveHQ warns you when a passport or licence has run out.

The customer page

At the top: what they owe now, total spent, days rented, and buttons to Call, WhatsApp or start a New booking.

Tabs:

  • Documents: passport, licence, photo and other files.
  • Rentals: every rental, with dates, rent paid, km driven and what happened to the deposit.
  • Payments: everything they've paid.
  • Messages: ready-made messages and a record of contact.
  • Details: contact info, passport and licence numbers, language for their messages and agreement, and Notes (only your team sees these; they save when you tap away). Tap Edit details to change them.

Don't rent to them again

On the customer's page, tap Don't rent to them again, write why (only your team sees it) and tap Mark don't rent. Anyone who picks this customer for a booking gets a warning with your reason. Tap Allow again to undo it.

Warn other businesses

If a customer left without paying, damaged a vehicle and didn't pay, or used false documents, you can tap Warn other RoveHQ businesses. Choose the kind of problem and the rental, and write what happened in plain facts. Businesses this person books with or messages see your business name, what happened in your words, the amount and the month, not your private note. You can Mark settled or Take back the warning later.

If another business has warned about a customer, you'll see it on their page and their bookings. It's one side of the story, so ask the customer and decide for yourself.

Questions

Do I have to add customers myself?

No. A customer is added when you create a booking for them or when they book online. Add one by hand only if you want to.
