From a receipt photo (fastest)

  1. In Money in & out, tap Add a cost from a receipt photo.
  2. Tap Read receipt and take or choose a photo (a screenshot or PDF works too).
  3. RoveHQ fills in the amount, date, type of cost, who you paid, the mileage and a short note. If the plate is printed on the receipt, it picks the vehicle too.
  4. Check it, fix anything wrong, tap Save. The photo is kept as the receipt.

If it can't read the photo, tap Another photo or type it in. If you've saved the same receipt before, RoveHQ warns you so you don't count it twice.

Not sure where a receipt goes?

Tap Upload a receipt from the + button, choose the photo, then under Where does it go? pick:

  • A new entry: a new cost filled in from the receipt
  • An entry already recorded: adds the photo to a cost from the last 3 months that has no receipt
  • A payment you're waiting for: marks a customer payment as paid, with the photo

By hand

  1. Tap Record money (on a phone: + button, Record money in or out), choose Money out.
  2. Pick What was it for? and the Vehicle.
  3. Enter the amount and date. Tap Who you paid and the mileage (optional) if you want them.
  4. Tap Save.

Shop rent, phone, ads, wages

Under Vehicle, choose No vehicle (business cost). It counts in your totals and profit but not against any car. It shows as Business cost in the list.

Servicing and repairs

For Servicing, Maintenance or Repair on a vehicle, a Service details box opens. Enter the mileage, tick Oil changed if it was (not shown for a repair), and set Next service due (date), (km) or both. The work goes into the vehicle's service history. See Service and maintenance.

Bill the renter

For damage, a fine or fuel the renter should pay, tick Charge this to the customer (it shows when the vehicle has bookings). From a booking, More > Add a cost opens the form with it already ticked.

  1. Check the Booking to bill. RoveHQ picks whoever had the car that day.
  2. Check the Amount to bill.
  3. It comes out of the deposit first. If the bill is bigger than the deposit, the rest is billed to the customer. Untick that if insurance covers it.
  4. Tap Save.

The cost stays as money out. The customer is told and can pay from their booking page. If they never pay, choose Won't be paid on the booking. More in Charge a renter.
