Vehicle handover and return checklist (free printable)
Free printable handover and return checklist for car and scooter rentals: damage diagrams, fuel and odometer, 12 photos to take and signature boxes.
Most deposit arguments come down to one question: was that scratch there before? This checklist gives you a written answer, signed by the renter, before they drive away and again when they bring the vehicle back.
It is built for small rental businesses: a few cars, a row of scooters, or a mix of both. Print a stack, keep them on a clipboard at the counter, and fill one in for every rental.
Who it's for
Car and scooter rental shops that still do handovers on paper
Operators who rent by the day, week or month and want the same routine every time
Anyone who has lost a deposit dispute because nobody wrote down the fuel level
How to use it
Fill in the header before the renter arrives. Business name, booking dates, plate number and deposit amount. It saves five minutes at the counter.
Walk round the vehicle together. Use the car or scooter grid and mark each mark you find with a letter: S for scratch, D for dent, C for chip or crack, M for missing. Ask the renter to look as well.
Take the 12 photos on the list. Include the odometer and fuel gauge in one shot each, and make sure your phone saves the date and time.
Both of you initial each stage and sign. The renter keeps a photo of the signed sheet; you keep the original with the agreement.
Repeat at return using the right-hand column. Anything new goes in the notes box with the photo numbers, before the deposit is refunded.
Keep the sheet with your free rental agreement, which should say that the handover checklist forms part of the contract. If the agreement and the checklist agree, a dispute is usually short.
For the full routine, including what to say at handover and how to handle a renter who refuses to sign, read our guide to the vehicle handover checklist.
Paper or phone
Paper works and costs nothing. The weak points are lost sheets and photos scattered across a staff member's phone. RoveHQ records the same checklist on your phone, attaches the timestamped photos to the booking, and lets the renter sign on screen, so the return check can be compared with the handover side by side.
Download the checklist, print it, and use it on your next rental. When you want it digital, you can start free with RoveHQ.
